Description: This module allows you to configure, manage, and validate email addresses and SMS sender names that will be used for all marketing communications and system automations.
What is it for? (Practical examples)
Use this tool to:
- Improve email delivery: By validating the email address, you reduce the likelihood that your newsletters and transactional emails end up in recipients' spam folders.
- Customize identity: Define a specific and professional sender name for your SMS campaigns (e.g., "CompanyName" instead of a generic number).
- Manage reply address: Specify an email address different from the sending one to receive customer replies.
Main features
- Multiple Sender Creation: You can register and manage different senders, choosing between Email or SMS types.
- Status Monitoring: The system checks and displays in real time the validation status of each sender (Validated, Pending approval, To be validated, Rejected).
- Advanced Email Authentication: For validated email senders, the system provides DNS parameters (CNAME Records) necessary to configure advanced authentication (DKIM) on your domain, drastically improving bulk sending reliability.
- Resend Activation Link: If the validation email was not received, you can request a new activation link directly from the sender edit panel.
- SMS Compliance Check: The system verifies that the SMS sender name complies with length requirements (maximum 11 characters) and format (only alphanumeric characters and some specific symbols).
How to configure
To add or modify a sender, follow these steps:
1. Access the "Sender Management" module.
2. Click on "Add" or select an existing sender to modify it.
3. Fill in the required fields according to the selected type.
| Field | Type | Description | Notes and Requirements |
|---|---|---|---|
| Sender Name | Email / SMS | The name that will appear as sender (e.g., "Support Company X"). | SMS: Maximum 11 characters. Only company names are accepted (no personal names). |
| Type | General | Select the communication channel (Email, SMS, WhatsApp). | WhatsApp configuration is managed in a separate module. |
| The actual email address from which communications will be sent. | Must be a valid and professional email address (Gmail, Outlook, etc. are discouraged for bulk sending). | ||
| Reply To | The address where recipients’ replies will be forwarded. | Optional. If left empty, replies will go to the main Email address. |
Validation Process
Email Senders
After saving, the system sends an activation link to the specified email address. You need to click this link to complete validation. Until then, the status will be "To be validated".
SMS Senders
After saving, the SMS sender name is sent for approval to the operator. This process may take a few minutes (during business hours). The status will be "Pending approval" until accepted.
Automatic integrations
Senders configured in this module are immediately available for use in these areas of the system:
- Marketing and Newsletters: Selectable as sending addresses for all email campaigns or as senders for SMS communications.
- Automations: Used as sending identities in automation rules (e.g., welcome emails, SMS notifications).
Key differences
Email/SMS Senders vs. WhatsApp Senders
This module is exclusively dedicated to managing traditional senders (Email and SMS). WhatsApp sender configuration, which requires managing specific accounts and templates, is handled in a dedicated area of the system: Settings => Messages => WhatsApp. If you select WhatsApp type in this module, you will be redirected to the correct area.
