Description: The Customer Management module is the control center for creating, editing, and monitoring all user profiles that interact with your system.
What is it for? (Practical examples)
This tool is essential to centralize all information related to your contacts.
- Personal Data and Access Management: Use it to manually register a new customer, update their contact details, and check if they can access the Reserved Area (activating or deactivating their login).
- Segmentation and Marketing: Use internal Tags and Newsletter List subscriptions to segment the database and launch targeted campaigns.
- Interaction Tracking: View the complete history of the customer's activities in one place, including purchases, support requests, and personalized actions (e.g., recorded calls).
Main Features
1. Customer List and Search
The main screen displays a dynamic table with all registered customers.
- Data Display: Essential data such as name, email, phone number, login status, and registration date are shown.
- Advanced Filters: You can filter the list based on geographic criteria (Region, City, ZIP code), Language, subscribed Newsletter Lists, or assigned internal Tags.
- Import/Export: If you have the necessary permissions, you can import new customers or export the entire database in CSV format.
2. Detailed Profile Management
Entering a customer's profile gives access to a comprehensive view organized into sections:
Personal Data
Allows entering and modifying basic personal information:
- First Name, Last Name, Date of Birth, Gender.
- Contacts (Email, Landline Phone, Mobile Phone, Website).
- Full Address (used as primary address).
- Setting Preferred Language.
- Uploading a User Photo (Avatar).
Billing and Shipping Data
Dedicated sections to specify Company Name, VAT Number, Tax Code, and all addresses needed for billing and shipping.
Login and Access
This section manages access to the Reserved Area:
- Enable Login: Allows activating or deactivating the customer's ability to access the system.
- Credentials Management: You can set a password manually or choose to automatically generate and send new credentials via email to the customer.
- Email Status: Indicates whether the email address has been confirmed; if not confirmed, the system will send a confirmation request for access.
3. Marketing and Segmentation Tools
In the customer edit panel, you can manage their participation in marketing activities:
- Newsletter Lists: Subscribe or unsubscribe the customer from specific marketing lists.
- Newsletter Status: Check the overall subscription status to newsletters.
- Internal Tags: Assign or remove visual tags (e.g., "VIP," "Hot Lead") for quick internal classification.
4. Actions and Interactions History
The "Actions History" section provides a detailed report of all customer interactions with the system and your team.
- Timeline View: Actions are shown in chronological order.
- Filters: You can filter history by date range or action type (e.g., only purchases, only contact requests).
- Add Custom Actions: You can manually record an action (e.g., a phone call, meeting) by entering a title, detailed note (with text editor), and attaching documents.
5. Summary Panel and Quick Actions (Sidebar)
While editing the profile, a sidebar provides statistics and quick tools:
- Key Statistics: Shows important summaries such as last recorded action, number of purchases made, revenue generated, and number of support requests sent.
- Devices: Lists devices registered for sending Push Notifications.
- Immediate Access: Allows you to log in using the customer's credentials (useful for support or verification).
- Credential Generation: Allows resetting the password and sending new credentials via email with one click.
- Source and Device: Tracks where the customer came from (e.g., marketing campaign, UTM) and device used during registration.
Automatic Integrations
The Customer Management module automatically integrates with other areas of the system to ensure a consistent workflow:
- Automatic Email Sending: The system automatically sends transactional emails for:
- Email confirmation request (if login is active).
- Account activation confirmation.
- Sending credentials when passwords are automatically generated.
- Marketing and Campaigns: Newsletter lists and tags are synchronized with Marketing modules allowing launching email campaigns or automatic inclusion in automation flows.
- Billing: Purchase data and revenue generated by the customer are automatically aggregated in the summary panel.
- Messaging and Chat: You can quickly start conversations (such as calls or chats) directly from the sidebar if the customer has provided a mobile contact.
Key Differences
This module is dedicated to managing the end user who has an account and potentially access to the Reserved Area. The information contained here focuses on personal data, interaction history, and login enablement.
