Prepare and send a document via email and/or SMS

This guide explains how to customize and send a document (such as an Invoice or a Quote) via email and/or SMS, using predefined or customized messages.


1. Accessing Message Customization

1. Access the page of the document you wish to send.

2. Locate the Personalizza email section.

3. Click on the button located under this label (the button text will be similar to Configura [Tipo Documento] or Invia [Tipo Documento]).

A modal window titled Invia documento will open.

2. Email Configuration

In the Invia documento window, configure the details for sending via email:

1. Messaggio personalizzato:

  • This section shows the body of the message and the default subject that will be used in the email. You can edit the text directly in these fields.

2. Oggetto:

  • Enter the subject that the recipient will see in their mailbox.

3. Destinatari/o email:

  • Verify or modify the email addresses to which you want to send the document. You can add multiple recipients separated by commas.

3. SMS Notification Configuration (Optional)

If you want to send a notification via SMS in addition to email:

1. Find the box titled Invia notifica SMS and check its checkbox to enable the option.

2. Once enabled, fill in the following fields:

  • Destinatari SMS: Enter the mobile numbers to which you want to send the notification. You can add multiple numbers separated by commas.
  • Mittente: Select a sender from the dropdown list (if available) or leave the Predefinito option.
  • SMS personalizzato: Enter the text of the SMS message.

> Tip: Below the customization fields, there is a table listing all Shortcodes (dynamic bookmarks, such as {cliente-nome} or {order-url}) that you can insert both in the email body and in the SMS message.

4. Scheduling Sending (Only for Invoices)

If the document is an Invoice and has not yet been paid, you might see an option to schedule sending:

1. Check the box Programma invio una volta ricevuto il pagamento if you want the system to automatically send the document only after payment has been received.

5. Sending the Document

After customizing the email and optional SMS:

1. Click on the Invia button (or Programma invio, if you have enabled scheduling).

The system will send the document to the specified recipients and close the preparation window. You will receive a confirmation notification of sending.

> Important: If you have not yet generated the document on Fatture in Cloud, the system may notify you that sending is not possible until you generate the fiscal reference. In this case, you must first click on Genera [Tipo Documento] in the Fatture In Cloud section of the document summary.
