Generate a tax document (Estimate, Invoice, Proforma, Delivery Note)

This guide explains how to create, synchronize, and send a fiscal document (Estimate, Invoice, Proforma, or Transport Document) directly from the order management page.


1. Generate the Fiscal Document

This procedure is necessary the first time you create a document for an order.

1. Access the Fatture in Cloud section within the order details.

2. In the Subject field, enter the subject of the document (e.g., "Order #1234").

3. In the Document type field, select the type of document you want to generate (e.g., Estimate, Invoice, Proforma, Transport Document).

4. In the Notes field, enter any notes to include in the document (optional).

5. Click the Generate document button.

You will receive a confirmation notification ("Document generated successfully"). The screen will update showing management options.


2. Send or Configure the Document Email

After generating the document, you can customize and send the email to the customer.

1. Click on the Customize email button (or Send [document type]).

2. A dialog window for sending configuration will open.

3. On the right column, check and modify the Email Subject field.

4. Verify and edit the Recipient(s)/email addresses (you can add multiple addresses separated by commas).

5. On the left column, edit the Custom message (email body and title) as desired.

6. For SMS sending (Optional):

  • Select the Send SMS notification checkbox.
  • Fill in the SMS Recipients, select the Sender, and write the Custom SMS.

7. Click on the Send button (or Generate document and send now if it is a scheduled invoice).

You will receive a confirmation notification ("The document has been sent successfully").


3. Synchronize with Fatture In Cloud

If the document has not yet been generated on the external platform, you can synchronize it manually.

1. Click on the Generate [document type] button (for example: "Generate invoice").

If the document has already been synchronized, the button will change to View [document type].

2. Click on View [document type] to open the document directly on the Fatture in Cloud platform.


4. Convert the Document (If Applicable)

If the generated document is not an Invoice, you might have an option to convert it into another type of document (e.g., from Estimate to Proforma).

1. Locate the label Convert [document type] to.

2. Click on the button related to your desired new document type (e.g., Invoice).


5. Delete the Document

1. Locate the label Management.

2. Click on the Delete [document type] button.

3. Confirm deletion in the dialog window that appears.
