Customize or configure the sending of the document via email

This guide explains how to customize the accompanying message and recipients before sending a fiscal document (such as Invoice or Receipt) via email or SMS.

Prerequisite: The fiscal document must have been generated or configured within the system.


Sending and Customization Procedure

1. From your Order or Sale tab, locate the fiscal document management box.

2. Click the Send [Document Name] button (or Configure [Document Name], if the document has not yet been sent).

  • A modal window titled "Send document" will open.

1. Email Message Customization

The window is divided into two sections. The left column is dedicated to customizing the email body.

1. Custom message: This section displays a preview of the email body that will be sent.

  • Document Title: Click on the document title (for example, "Invoice [Number]") to edit it directly within the message body.
  • Message Body: Use the text editor to modify the default email text.

2. Email Sending Details Configuration

The right column contains the sending settings.

1. Subject: Enter or modify the email subject that the recipient will see in their inbox.

2. Recipient(s) email: Enter the email addresses to which the document will be sent.

  • You can enter multiple recipients separated by commas or by pressing Enter after each address.

3. Shortcodes: Use the shortcode table at the bottom of the column to dynamically insert information about the customer or order (e.g., {customer-name}, {order-url}) into the message body or subject.

3. SMS Notification Sending (Optional)

It is possible to send an SMS notification to the customer in addition to the email.

1. In the Send SMS notification section, check the box to enable the feature.

2. SMS Recipients: Enter the phone numbers to which the notification will be sent. Multiple numbers can be entered.

3. Sender: Select the sender name that will appear on the recipient's phone (e.g., MS Agenzia or FW360).

4. Custom SMS: Edit the SMS message text. Shortcodes can also be used here.

4. Sending Completion

1. Once customization is complete, click the Send button at the bottom of the modal window.

The system will send the document to the specified recipients and record the sending date. If the sending fails, an error message will be displayed.
