Description: An essential tool to proactively monitor, record, and manage the expiration dates of services, contracts, or products provided to customers.
What is it for? (Practical examples)
- Avoid revenue loss: Keep an organized track of renewal dates for annual support contracts, software licenses, or subscriptions, ensuring timely reminders.
- Improve customer experience: Provide customers with a clear and accessible overview of their active services and the ability to quickly renew them from their reserved area.
- Automate communication: Set up automatic email reminders before a service expires, reducing manual workload.
Main features
- Detailed operations management: Allows adding, modifying, or deleting specific deadlines for each customer. It is possible to record important details such as the item or service, quantity, amount, notes, start date, and expiration date.
- Automatic renewal: When a customer renews a service (for example, via the cart and checkout), the system automatically calculates the new expiration date based on the defined duration for that service (days, weeks, months, or years).
- Customer financial summary: In each customer's profile tab, quick summaries display the total capital related to active and concluded deadlines.
- Advanced reporting: Detailed operational reports on deadlines can be generated with the possibility to filter data by start and expiration date ranges.
- Action tracking: Enables recording and displaying actions performed on customers in the dashboard, with the option to mark reminder activities as completed.
How to configure
The main configuration takes place through the module settings panel. These options define standard data sets that can be used to categorize deadlines.
| Configuration option | Description |
|---|---|
| Provenienze | Defines a list of possible sources or origins for your deadlines. |
| Istituti bancari | Defines a list of institutes or entities related to deadlines (if applicable to your sector). |
| Prodotti | Defines a list of standard product or service names subject to expiration. |
Automatic integrations
This module automatically connects with other areas of the system to optimize deadline management.
Administrative Area (Dashboard and Customer Profiles)
- "Upcoming Renewals" widget: Displays an immediate list of deadlines occurring within the next 7 days, allowing the team to act promptly.
- "To Do Today" widget: Shows actions recorded in customer history for the current day, enabling marking them as completed with a simple click.
- New "Reminder Date" column: Adds a column in the main customer table indicating the date of the last recorded reminder action, facilitating monitoring.
- "Deadlines" tab in Customer Profile: Adds a dedicated section inside the customer profile to view full operation history and add new deadlines with a dedicated button.
Customer Area (Frontend)
- "My Deadlines" section: Customers can access a dedicated section in their reserved area where they view all active services, expiration dates, and remaining days.
- Quick renewal: If a deadline is imminent (within 30 days), customers can click a button to proceed directly to checkout and renew the service.
Automations and Communications
- Automatic reminder emails: The system automatically sends notification emails to customers a set number of days before expiration (the days are configurable in the Membership module).
- Expiration notification: If a service expires without being renewed, the system sends an alert email and triggers a specific event in Marketing Automation. This enables launching targeted campaigns (e.g., an email sequence for customer recovery).
