Description: Central tool to manage subscription status, preferences, and list membership of all contacts who receive or have received marketing communications.
What is it for? (Practical examples)
This tool is essential to keep your contact base updated and segmented for communication campaigns.
- Segmentation: Assign customers to specific lists (tags) to send them only relevant communications (e.g., "VIP Customers," "Interested in Product X").
- Compliance: Manually subscribe or unsubscribe a contact, keeping track of consent status.
- Analysis: Quickly filter contacts based on their status (subscribed, unsubscribed, unconfirmed) or the reason for their cancellation.
Main Features
1. Viewing and managing contacts
The main screen shows all recipients with the following details:
- Status: Indicates if the contact is Subscribed, Unsubscribed, Pending Confirmation, or Unsubscribed (due to manual or automatic cancellation).
- Personal data: Name, Email, Mobile, and Subscription Date.
- Lists: List of marketing lists to which the contact is assigned.
- Comments: Internal notes related to the recipient (visible only to administrators).
2. Bulk and single actions
It is possible to perform actions on one or more selected recipients directly from the list:
- Subscribe/Unsubscribe: Change the newsletter consent status for multiple contacts simultaneously.
- Remove from list: If viewing a specific list, you can remove contacts only from that list without completely unsubscribing them from the newsletter.
- Edit: Access the edit form to update the data and preferences of a single recipient.
3. Creating and editing a recipient
When creating or editing a recipient, the following options are available:
| Field | Description | Notes |
|---|---|---|
| First Name, Last Name, Email, Phone | Contact's personal data. | These fields are required only if adding a new contact not yet present in the customer database. |
| Recipient Lists | Allows assigning the contact to one or more marketing lists (Tags). | Useful for segmenting future communications. |
| Subscribed | Checkbox to activate or deactivate the newsletter subscription status. | If unchecked, the contact will no longer receive communications. |
| Comments | Field to enter internal notes (e.g., reason for unsubscription, special preferences). | These notes are not visible to the recipient. |
4. Advanced filters
You can filter the recipient list based on:
- Subscription Status: Show only subscribed, unsubscribed, etc.
- List Membership: Show only contacts who belong to a specific marketing list.
- Cancellation Reason: Filter contacts based on the internal note indicating the reason for their unsubscription (e.g., Bounces, Blacklist, Voluntary cancellation).
Automatic Integrations
Link to Customer Database
The Recipients module is closely linked to the main Customer Database.
- If you edit a recipient who is also a customer, the system will show a preview of their main data.
- When creating a new recipient, if personal data is entered, the system automatically creates a record in the Customer Database as well.
- Deleting a recipient from this module also deletes the contact from the Customer Database.
Email Blacklist Management
When a contact is set as "Subscribed" (active), the system ensures their email is removed from any internal blocklists (blacklists), guaranteeing that communications can be sent correctly.
Contact Import (CSV)
If the CSV import module is enabled, there is a button in the toolbar that allows bulk uploading of new recipients and assigning them directly to marketing lists.
