This tool is essential to ensure that all automatic communications sent by the system are consistent, up-to-date, and aligned with the company image.
- Customization: Edit the text and design of order confirmation emails or expiration notifications for your customers.
- Omni-channel: Ensure that an important alert (e.g., "Your ticket has been closed") is sent simultaneously via email, SMS, and push notification, managing the content from a single point.
- Quick update: If you need to change the support email address in all communications, you can do so quickly by modifying the relevant templates.
Main Features
- Centralized Management: All communication templates used by the system are logically grouped (e.g., by Module, by Function) and accessible from a single screen.
- Recipient Filter: Templates are clearly distinguished based on the final recipient:
- For Staff: Internal communications (e.g., new order notifications).
- For Customers: External communications (e.g., confirmations, updates).
- Multi-Channel Support: For each template, it is possible to edit specific content for the following channels:
- SMS
- Push Notifications (internal to the Reserved Area or App)
- Activation Status: A visual indicator (green for Active, red for Inactive) immediately shows which channels are enabled for a given communication template.
- Advanced Editor: The editing interface includes a full HTML editor for emails and supports inserting "shortcodes" (automatic placeholders) that are replaced with dynamic data (e.g., customer name, order number) at sending time.
How to configure it
Configuration is done by selecting the desired template and editing the specific contents for each channel.
1. Accessing the Template: From the main list, navigate through groups and click on the name of the template you want to edit. The screen will switch from list view to editor view.
2. Editing Content: Within the editor, you can switch between tabs (Email, SMS, Push) to configure each specific message.
- Email: You must specify the Subject and message body (HTML).
- SMS/Push: You must specify the message text, taking character limits into account.
3. Activation/Deactivation: For each channel (Email, SMS, Push), there is a toggle switch to enable or disable sending in that particular format. If switched off, the system will not send communication via that channel even if the template is active.
4. Saving: After making changes, click on the Save Changes button. The activation status in the main list will be updated immediately.
Automatic integrations
Templates configured in this section automatically integrate with system operations:
- SMS Credit Management: When saving an SMS template, the system performs an automatic check to verify that the account has sufficient credits to send SMS messages.
- File and Image Management: The advanced email editor automatically handles uploading and storing images and attachments used within the message body.
- Extensions and Customizations: The system allows integration of additional communication types (beyond Email, SMS, and Push) via extensions, enabling management of these contents from this interface as well.
