Description: This tool allows you to configure and manage one or more external email accounts (SMTP servers) that the system will use to send all automatic and transactional communications.

What is it for? (Practical examples)

  • Improve email delivery: By using a professional SMTP server (such as those provided by Office 365, Google Workspace, or dedicated services), the risk that emails sent from the system end up in spam is reduced.
  • Manage multiple senders: Allows defining different sending accounts, useful if you want marketing communications to be sent from one address and support notifications from another.
  • Set a default sender: Allows designating a specific account that will automatically be used as the sender for all software functions requiring email sending.

Main features

  • Creation and management: It is possible to add, modify, and delete email configurations in a centralized list.
  • Immediate connection verification: Before saving, you can test the entered parameters (Host, Login, Password) to ensure the system can properly connect to the external SMTP server.
  • Selective activation: Each connection can be activated or deactivated. The system will use only active connections for sending.
  • Default designation: You can assign an account as the global default sender for the entire system.

How to configure

To configure a new email account, you need to fill in the following fields, divided into two main sections:

1. Outgoing data (SMTP)

2. Technical access details

PortThe port used by the SMTP server (most common are 587 or 465).

Connection verification:

After entering all data, click on the Verify connection button. The system will immediately attempt to establish a connection with the server to confirm that the parameters are correct.

Source IP addresses (Whitelist)

If the mail server used has restrictive firewalls or security policies blocking connections from unrecognized external sources, it may be necessary to explicitly authorize our servers.

Please add the following public IP addresses used by our infrastructure for sending emails to your mail server or firewall's whitelist:

Automatic integrations

Configuring email connections is essential to ensure proper operation of all automations and communications generated by the system.

  • Sending communications: All functions that send emails (such as user notifications, automatic form responses, invoice or report dispatch) will use the active configuration.
  • Default sender priority: If you enable "Use as default sender," this connection will have highest priority and override any other reply or sender settings specified in forms or third-party sections. When saving a configuration as default, all other configurations previously designated as default are automatically deactivated from this role.
